How Celayix can help with EVV Compliance

As the deadline approaches for home healthcare agencies to implement EVV software, take a look at how Celayix can help with EVV compliance!

In case you haven’t heard, home healthcare providers will soon be required to comply with the latest EVV (Electronic visit verification) mandate. We’ve already broken down exactly what EVV is, along with how it might impact your home healthcare organization. Now, we want to break down exactly how Celayix can help with EVV compliance. We can help with everything from Data exports and GPS based time collection.

Before we get into how Celayix can help, let’s quickly recap what EVV is, and why it’s required.

What is EVV?

Nurse Holding Compliance Sheet

Electronic Visit Verification (EVV) falls under the 21st Century Cures Act, which was signed into law in 2016 in the US. It requires state agencies to implement a system of EVV for their services. This covers personal care services and home health care services provided and reimbursed under Medicaid. Under the mandate, all states must require EVV from all home healthcare service providers by January 1st, 2023.

What are the objectives of EVV?

Of course, this mandate hasn’t come out of anywhere. In recent years, the home healthcare industry has seen very high levels of fraud, and problems with patients not receiving the care they need. The National Heath Care Anti-Fraud Association estimates conservatively that health care fraud costs the nation about $68 billion annually. This, on top of the increasing reports of patients not being cared for called for change.  EVV has been mandated in an effort to reduce these issues, and improve the industry overall.

EVV Compliance for Caregivers

The first way that Celayix can help home healthcare providers is with our Celayix Mobile App. The mobile app can be used in many different ways to ensure EVV compliance for caregivers.

Celayix Mobie: Add Signature

Shift tasks & field reporting

With the mobile app, managers can create specific shift tasks that caregivers can view during their shifts. This will help ensure that patient care is prioritized. Caregivers can also report back to managers through the app if there are any issues or notes they wish to record. Signatures can also be recorded through the app, which will help verify that tasks have been fully completed.

GPS check-in & check out

One of the key components of EVV is to ensure that caregivers are in the right place at the right time. The Celayix mobile app lets caregivers check in and out of shifts directly from their phones. They will only be able to do so once they are in the right location, which is paramount for EVV compliance. All check-ins and check-outs are automatically recorded and can be easily formatted for EVV data exports.

EVV for Home Healthcare Agencies

Celayix also provides employee scheduling software that allows managers to monitor caregivers, and ensure total EVV compliance.

Shift tasks & field reporting

As mentioned above, Celayix allows managers to create tasks for caregivers, and monitor the progress as they are completed. They can also review any notes from caregivers during a shift, and keep a record of everything. This helps ensure the timeliness of visits and the quality of care is at the desired standard.

GPS Geofencing

Celayix Geofencing with GPS

Tying in with the GPS check-ins and check out, managers can view this data, and monitor the location of their caregivers across multiple locations. Geofencing is a great way to ensure all caregivers are where they need to be. It will also eliminate time fraud for care agencies, as caregivers cannot claim to be working when they are not at the patients’ homes. Caregivers will only be paid for the time they actually work.

The crucial part of EVV compliance is the collection of 5 main data points

  • Date of Service
  • Location of Service
  • Type of Service provided
  • Person receiving the service
  • Person providing the service
  • Start/End time of service

With Celayix, as long as caregivers use the mobile app as required, all of these data points will be automatically recorded and stored for export. The time that will be saved from this automation is a huge benefit to management who can dedicate resources elsewhere, rather than manually collecting and managing this data.

Data Exports

Celayix Schedule Xpress: Schedule Report

The final, and perhaps most important way that Celayix can help with EVV compliance is through the management and exporting of vital EVV data. Each state will have a different data aggregator, and the data must be provided in the specified format for that aggregator. Celayix can work with clients from any state and help to ensure that the data can be managed as required. With Celayix, all of the necessary data can be exported with the click of a button – whether it’s daily, weekly or monthly.

Workforce Management

Although its not directly related to EVV compliance, Celayix employee scheduling, time and attendance software can do much more to benefit your home healthcare agency. With a wide range of features, Celayix can improve your workforce management, and in turn improve your efficiency, productivity & profitability.

  • Celayix AI features can improve overall schedule quality, and eliminate bias.
  • The find replacement feature can help you handle sick calls & no-shows in a matter of minutes!
