Challengesautomated scheduling for hotels and hospitality

The hotel was looking for a way to eliminate its manual scheduling effort. The office staff scheduled approximately 1,300 employees every week using manual processes. This led to excessive time spent scheduling individual employees. This time could have been better spent managing their overall workforce management processes.

Solution

They wanted to find a workforce management solution that would allow them to:

  • Instantly create recurring shifts on a week-to-week basis
  • Send out mass emails to employees notifying them of shift changes
  • Allow staff to schedule themselves to work the shifts that best suit them

Celayix provided them with the tools to achieve these goals and more. This hotel has since been able to cut down on significant time scheduling their employees every week by being able to copy and repeat shifts for employees working in banquets.

Previously, they had to send out individual emails to their staff regarding scheduling changes, but with Celayix, they can send multiple emails to employees notifying them of alterations. Notifications on the Celayix Employee App also alert the staff of shift additions and updates so they don’t miss a thing.

“The ability to repeat and copy shifts from week to week has really made it simple to schedule our (1,300+) staff members instead of manually inputting them”

Simplified Scheduling

They have significantly benefited from being able to copy the shift from one week based on who works them and at what time and copy them into the same week. Managing such a large task force brings an array of complications when dealing with shift changes. But thanks to our shift repetition feature, the resort team can eliminate tedious scheduling processes and focus on the finer details.

Improved Communication

Emails and mobile notifications have fostered easier and more effective communication channels between management and staff for the banqueting department. Employees are notified about shift changes, can submit time-off requests, and can use the in-app messaging feature to communicate with their managers. These features avoid confusion within banqueting and ensure all parties are on the same page.

Workforce Management Automation

Alongside schedule repetition and efficient communication, the hotel’s banqueting has been able to empower its employees through the use of our self-scheduling. Self-scheduling has taken the onus off management when scheduling staff for specific shifts and allows employees to choose their work hours. This leads to less stress for management and a more satisfied banqueting workforce.

Improper Shift Scheduling Health Impacts: Latest Research

Shift work was shown to increase the risk of circadian syndrome by about 57% (adjusted odds ratio, 1.57). This means that people working shifts were 1.57 times more likely to develop circadian syndrome compared to those with regular day shifts. This result is highly reliable, with a 95% confidence interval between 1.23 and 2.01, and the likelihood of this being a chance finding is very low (P < .001).
